Staff-Safety Responder Registration

This document details the steps for registering a Responder to receive SMS notifications from the HID Staff-Safety product and the “opt-in” and “opt-out” process. A “Responder” is an individual that needs to take action when a Staff-Safety Event occurs. The Staff-Safety notification may be sent to many users at one time. If the notification is not acknowledged within a specified time frame, then the system may resend the notification and may widen the distribution list.

Registering a Responder

Responders are added to the system by an Administrator through the Bluzone Staff-Safety UI. Responders are usually company employees and are using company issued mobile devices. Bluzone Staff-Safety will send an SMS message to the supplied number with a message stating:

HID Staff-Safety has added this phone number to receive Staff-Safety notifications. Reply with OK to accept Reply with STOP to opt-out

If the Responder replies with “OK”, then the phone number is enabled to receive Staff-Safety notifications from HID Staff-Safety application.

After replying with “OK”, the Responder will receive the following notification:

Welcome to HID Staff-Safety. Reply with STOP to unsubscribe this device.

Responder Opt-In and Opt-Out

Responders must Opt-In to receive SMS messages for Staff Safety events. The Staff-Safety portal tracks a status for each registered Responder. Messages are only sent to devices that have approved the invitation to participate in Staff-Safety messages.

The HID Staff Safety solution maintains a database of Responders, their phone numbers, and their current opt-int/opt-out status. The onboarding flow looks like this:

  1. User is invited to be a Responder through the web portal admin UI

    1. A database record is created with the status of “PENDING”

    2. An invitation message is sent to the user’s mobile device

    3. The message contains instructions on how to proceed.

    4. The user must respond with “YES” to continue or “NO” to stop

  2. User replies with a message

    1. The user’s response is recorded in the database

  3. If the user opts in by responding with “YES”

    1. Then Staff-Safety duress messages are sent to the users device

  4. If the user ever sends “STOP” or “NO”, then the user’s record is updated in the database and no further messages are sent to that device.

Staff-Safety Notification

When a Staff-Safety event occurs, the system will send the following message:

HID Staff-Safety Notification Device $DEVICE_NAME has triggered an alarm at $DEVICE_LOCATION_NAME. Press 4 to acknowledge. Press 6 to escalate. Press 9 to cancel.
